Client Greeting & Setting the ExperienceFacialist
First impressions don't belong to the receptionist alone. The moment a client sits in your chair, you own the experience.
The handoff from reception
Reception will check the client in and hand them over to you. Know the client's name, whether it's their first visit, and which treatment they've booked before they reach the chair.
Your opening line โ the experience preference question
Once the client is seated, introduce yourself and ask:
"Hi, I'm [name]! Before we get started โ would you like me to explain each step as I go, or would you prefer a quiet, relaxing experience?"
Quick verbal consultation before you start
Even with the consent form filled out, do a quick check every visit:
- Any new skin concerns since your last visit?
- Had any injectables, peels, or laser treatments recently?
- Any breakouts, sensitivity, or irritation right now?
- Pregnant or breastfeeding? (impacts which heads you can use)

Understanding Each Machine HeadFacialist
Aqua Peel Head (Hydradermabrasion)
Cleanses, exfoliates, and hydrates in one step using water and solution. Removes dead skin, unclogs pores, and infuses serums. Used in every treatment โ the core of the Flash Facial.
Scrubber Head (Ultrasonic)
Uses gentle ultrasonic vibrations to dislodge dirt, blackheads, and congestion from pores. Great for cleansing facials. Always use on light pressure โ never force extractions.
Face Sculpting Head / Contour Wand (EMS / Electro Ion)
Uses gentle electrical microcurrent to lift, tone, and tighten facial muscles. Wakes up sluggish skin and softens the appearance of fine lines. Always apply RF cream before use.
Radio Frequency (RF) Head
Delivers controlled gentle heat deep into the skin to stimulate collagen, firm skin, and reduce sagging. Always apply RF cream before this step. Keep the head moving at all times โ never hold still.
Ultrasound Head
Sends sound waves deep into the skin to push serums and active ingredients further in. Improves absorption, firms skin, and boosts glow. Used in brightening protocols.
Cryo Therapy Head (Ice Hammer)
Cold therapy that soothes inflammation, reduces redness, closes pores, and calms the skin after active steps. Feels refreshing โ clients love this step.
Oxygen Spray Head
Sprays a fine mist of cool oxygen to refresh, hydrate, and brighten the skin. The finishing step in most facials โ leaves the skin glowing and the client feeling incredible.
RF head and EMS/Contour Wand should not be used on clients who are pregnant, have pacemakers, metal implants in the face, or active skin infections. When in doubt, skip and flag to management.
Machine cleaning & maintenance
- Wipe all heads with a clean damp cloth between every client
- Disinfect heads with approved solution after each use โ never skip this
- Empty and rinse the aqua peel chamber at the end of every shift
- Check solution levels at the start of each shift
- Coil all cables neatly when not in use โ never yank or bend sharply
- Report any head that isn't working properly to management immediately
- Machine must be powered off at end of day โ not left on standby

Hygiene, Room Reset & Client RecordsFacialist
Between every client
- Wipe down and disinfect all machine heads used
- Change the headband and any disposable items
- Wipe down the treatment chair with disinfectant
- Replace towels or covers with fresh ones
- Reset product placement โ everything back in its place
- Log treatment notes in Fresha before the next client sits down
What to log in Fresha after every treatment
- Which treatment was performed (15 or 30 min, which protocol)
- Which solution was used (AS1, SA2, AO3)
- Any skin observations โ sensitivity, redness, specific concerns noted
- Any client feedback during or after treatment
- Whether the client is new or returning
End of shift checklist
- Empty and rinse aqua peel chamber
- Wipe down machine exterior
- Power off machine โ do not leave on standby
- Coil all cables neatly
- Dispose of all single-use items
- Restock products and flag anything running low to management
- Leave the treatment area clean and ready for next shift
Skin Knowledge BasicsFacialist
You don't need to diagnose โ you need to observe. Adjust your solution, pressure, and steps based on what you see and what the client tells you.
Oily skin
Shiny, enlarged pores, prone to blackheads and congestion
โ Use SA2 solution
Dry skin
Feels tight, may flake. Dull appearance, small pores
โ Use AO3 solution
Combination skin
Oily T-zone (forehead, nose, chin), drier on cheeks
โ Use AS1 solution
Sensitive skin
Easily red or reactive. Use lighter pressure throughout
โ Skip scrubber, go gentle
When NOT to proceed โ contraindications
- Active, open acne lesions โ skip that area or avoid entirely
- Open wounds, cuts, or broken skin โ do not treat
- Recent injectables (Botox, filler) in the last 2 weeks โ avoid those areas
- Recent laser or chemical peel in the last 2 weeks
- Pacemaker or metal implants in the face โ no RF or EMS heads
- Pregnancy โ flag to management before any RF or EMS steps
- Severe rosacea flare-up โ no heat heads, skip the scrubber
If you are unsure whether to proceed with any step, stop and contact management. Never guess with contraindications.
What to Do During DowntimeFacialist
Downtime is not free time. Use it to support the brand and keep the space client-ready at all times.
- Deep clean and sanitise the treatment station
- Restock products and check solution levels
- Practise facial massage techniques
- Review this training manual and refresh your knowledge
- Support reception โ check if they need anything
- Engage with customers browsing โ be warm and welcoming, not salesy
- Comment on creators' posts (saved comments in Notes app on work phone)
- If filming is approved by management, help capture content for Instagram/TikTok
- Ensure the treatment area always looks beautiful โ assume a camera could walk in at any moment
If Things Go WrongFacialist
Client shows redness or sensitivity mid-treatment
- Stop that step immediately โ never push through
- Switch to the cryo head to calm the skin
- Ask calmly: "How are you feeling? Is there any discomfort?"
- Log what happened and inform management after the treatment
Client has a reaction after treatment
- Stay calm โ do not panic in front of the client
- Do not diagnose or make promises about outcomes
- Inform management immediately and document everything
- Follow management's direction โ they will take the lead
Unhappy client
- Listen fully without interrupting
- Never get defensive โ never argue
- Say: "I'm really sorry to hear that โ let me get our manager for you right away."
- Hand over to management. Do not offer refunds or free treatments yourself
A negative review is posted
- Screenshot and send to management immediately
- Do not reply publicly โ ever
- Management handles all online responses
Medical emergency: If a client has a serious reaction โ swelling, difficulty breathing, or any medical emergency โ call for help immediately and contact emergency services. Do not leave the client alone.
